Privacy Policy

Paragon Systems (“Paragon Systems,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information. This Privacy Policy describes the information we may collect, how we collect and use it, when we may disclose it, the choices and rights available to you, and how to contact us.

1. Scope

This Policy applies to information we collect:

• On websites we operate, websites we host for customers or partners, and mobile applications we manage or develop (collectively, the “Platforms”).
• Through email and other electronic communications with us.
• Through Paragon Systems products and cloud services, including Libresso AI, and connected agents, bots, devices, and integrations used with those products (collectively, “Peripherals”).
• When you interact with our applications, content, or advertising on third-party websites, services, or social media.

This Policy does not apply to information collected by third parties under their own privacy policies, including through third-party applications or content that links to or is accessible from the Platforms.

Please read this Policy carefully. If you do not agree with our practices, do not use the Platforms or provide information to us. Where applicable law requires consent for a particular activity, we will request that consent separately.

2. Information We May Collect

Depending on the Platforms, services, features, Peripherals, and relationships you use, we may collect the following categories of information:

• Contact and account information: name, date of birth, postal address, email address, telephone number, postal code, user IDs, usernames, and other identifiers.
• Peripheral and device information: MAC address, manufacturer, installation date, connectivity, configuration, usage, and performance data.
• Service and transaction information: information needed to deliver requested services, product and application logs, transaction details, billing-related records, and service-fulfillment information.
• Communications and research information: correspondence, support requests, survey responses, and other information you provide when communicating with us.
• Technical and usage information: IP address, browser type, operating system, internet connection, equipment information, access times, referring pages, activity logs, location information, and interactions with the Platforms.
• Derived or de-identified information: aggregated, anonymized, or inferred information about usage, connectivity, preferences, or performance that does not reasonably identify an individual.

Not every category applies to every Platform, customer, user, or feature. We collect information appropriate to the services and features being used.

3. How We Collect Information

We may collect information:

• Directly from you when you create an account, complete forms, register a Peripheral, request services, contact support, respond to a survey, or otherwise provide it.
• Automatically when you use the Platforms, advertisements, or Peripherals, including through cookies, web beacons, logs, and similar technologies.
• From customers, business partners, service providers, vendors, integrations, and other third parties, subject to applicable law and contractual requirements.

4. Cookies and Similar Technologies

We may use cookies, web beacons, pixels, software development kits, local storage, and similar technologies to operate and secure the Platforms, remember preferences, understand usage, measure performance, and provide relevant content.

You may configure your browser or device to refuse or limit certain technologies or to notify you when they are used. Some Platform features may not function properly if necessary technologies are disabled. Where required, we provide additional choices or request consent before using non-essential technologies.

5. Third-Party Tracking and Content

Some Platform content or applications may be provided by third parties, such as service providers, analytics providers, advertisers, advertising networks, content providers, application providers, Amazon, or Google. These parties may use cookies or similar technologies to collect information about activity over time and across websites or services. Their practices are governed by their own privacy policies. We do not control third-party technologies or policies, and questions about their practices should be directed to the responsible provider.

6. How We Use Information

We may use information to:

• Provide, operate, maintain, secure, support, and improve the Platforms, products, services, and Peripherals.
• Create and administer accounts, fulfill transactions, provide customer support, and deliver requested information, products, or services.
• Personalize experiences, remember preferences, understand usage patterns, and improve search and performance.
• Communicate about accounts, service status, confirmations, expiration, renewal, security, support, and changes to the Platforms.
• Provide marketing, offers, advertising, or other content that may be relevant to your interests, where permitted by law and subject to applicable consent and opt-out rights.
• Detect, investigate, and prevent fraud, abuse, security incidents, unlawful activity, and violations of our agreements.
• Comply with legal obligations, enforce our rights and agreements, resolve disputes, and protect Paragon Systems, our customers, users, and others.
• Fulfill another purpose disclosed when information is collected or act with your consent.

Depending on applicable law and the context, we process personal information based on consent, performance of a contract, compliance with legal obligations, protection of vital interests, or our legitimate interests and those of our customers, provided those interests are not overridden by applicable privacy rights.

7. Messages from Us

When you register for or use our services, you may receive transactional email, text messages, or push notifications concerning your account or services. Where permitted, we may also send promotional communications. You may opt out of promotional email or text messages by using the unsubscribe instructions in the message or by contacting us. To manage push notifications, use your device settings. Opting out of promotional messages does not prevent service, security, legal, or other non-promotional communications.

8. How We Disclose Information

We may disclose personal information:

• To subsidiaries and affiliates.
• To contractors, service providers, vendors, professional advisers, and other parties that support our business or provide services on our behalf.
• To customers or partners when we operate or host a Platform on their behalf and the disclosure is necessary to provide the applicable services.
• To a buyer, successor, or other party involved in an actual or proposed merger, financing, divestiture, restructuring, reorganization, dissolution, sale, or transfer of some or all of our business or assets.
• To fulfill the purpose for which information was provided or another purpose disclosed when it was collected.
• With your direction or consent.
• To comply with a court order, law, legal process, or government or regulatory request.
• To enforce our Terms of Use and other agreements, including for billing and collection.
• When we believe disclosure is necessary or appropriate to protect the rights, property, security, or safety of Paragon Systems, our customers, users, or others.

We may disclose aggregated or de-identified information that cannot reasonably be used to identify an individual, subject to applicable law.

9. Your Choices

• Tracking technologies: use browser, device, or Platform controls to manage cookies and similar technologies where available.
• Promotional communications: follow the opt-out instructions in a message or email support@paragonsystems.us.
• Advertising disclosures: where applicable law provides a right to opt out of certain disclosures, sales, sharing, or targeted advertising, contact us using the information below or use any Platform-specific control we provide.
• Connectivity and usage data: where a choice is available, disabling collection may limit or disable features necessary for the operation, security, or performance of a Peripheral.

10. Data Retention

Paragon Systems retains personal information only for as long as reasonably necessary for the purposes described in this Policy, including providing the Platforms, maintaining accounts, preventing fraud and abuse, meeting legal and contractual obligations, resolving disputes, and enforcing agreements. We determine retention periods based on the nature and sensitivity of the information, the purposes for processing it, applicable legal requirements, and whether those purposes can be achieved by other means. When information is no longer required, we delete, anonymize, or securely dispose of it, subject to lawful exceptions and backup-retention cycles.

11. Access, Correction, Deletion, and Other Privacy Rights

Depending on where you live and subject to applicable law, you may have rights to request access to, correction of, deletion of, or a copy of personal information; to object to or restrict certain processing; to withdraw consent; to opt out of certain sales, sharing, targeted advertising, or profiling; and to appeal a decision concerning a privacy request. You may submit a request by emailing support@paragonsystems.us.

We may need to verify your identity and authority before acting on a request. We may deny or limit a request where permitted by law, and we will provide an explanation when required. Authorized agents may submit requests where applicable, subject to verification.

Subject to applicable law, we will delete or de-identify information that we are not required or permitted to retain. We may retain limited information where necessary to provide requested services, complete transactions, protect security and integrity, comply with legal obligations, exercise or defend legal claims, or enforce our agreements. Deleting certain information may require closing the associated account when that information is necessary to operate or secure the account. Residual copies may remain in backups until overwritten under our retention schedule.

We will not unlawfully discriminate against you for exercising an applicable privacy right.

12. Children’s Privacy

The Platforms are not directed to children under 16, and we do not knowingly collect personal information from children under 16 without authorization required by applicable law. If you are under 16, do not create an account or provide personal information through the Platforms unless permitted by applicable law and authorized by a parent or guardian where required. If you believe we have collected information from a child inappropriately, contact us so we can investigate and take appropriate action.

13. International Data Transfers

Paragon Systems and the parties described in this Policy may process information in countries other than the country where it was collected. Those countries may have different data-protection laws. Where required, we use appropriate safeguards for international transfers and provide additional information about those safeguards upon request.

14. Data Security

We use administrative, technical, and physical safeguards designed to protect personal information from accidental loss and unauthorized access, use, alteration, and disclosure. No security measure or method of transmission over the Internet is completely secure, and we cannot guarantee absolute security.

You are responsible for protecting account credentials and should not share passwords or authentication information. Notify us promptly if you believe an account or credential has been compromised.

15. Changes to This Policy

We may update this Policy from time to time. We will post the updated Policy and revise the effective or last-updated date. When required by law or when changes materially affect how we use personal information, we will provide additional notice and obtain consent where required. Continued use alone will not be treated as consent where applicable law requires another form of consent.
